AI voice and automation

Turn routine conversations into faster service

Design AI voice workflows for approved enquiries, qualification, bookings and notifications. Each one includes clear disclosure, controlled data access, measurable outcomes and immediate human escalation where needed.

Every workflow includes

  • Disclosure
  • Approved knowledge
  • Human handoff
  • Measurement

  • How the assistant identifies itself
  • What it may answer and from where
  • When a person takes over
  • How success is measured

Use cases

Choose a bounded use case

Start with a high-volume, repeatable workflow. It should have reliable source information, clear rules, a defined outcome and a safe path for exceptions. Sensitive or high-consequence decisions are not automated without the required human and governance controls.

  1. Inbound service

Answer approved questions, identify intent, complete simple checks and transfer exceptions.

  2. Lead qualification

Collect authorised criteria, create a structured record and route to the right team.

  3. Appointments

Offer approved services and times, confirm details and update the authorised booking system.

  4. Notifications

Deliver approved reminders or updates with identity, consent and contact-policy controls.

  5. Overflow and after hours

Capture demand when people are unavailable, without pretending every issue has been resolved.

Conversation design

Design the conversation, including its exits

Identify the virtual assistant, explain what it can do, confirm important information and make human help easy. The assistant says when it does not know, rather than guessing.

  1. Greeting

Identify the business and the virtual assistant

  2. Understand

Ask why the caller is getting in touch

  3. Resolve

Answer from approved content or complete the authorised task

  4. Confirm

Repeat details such as date, time and contact number

  5. Escalate

Transfer, schedule a callback or flag urgent handling

    Human handoff
  6. Close

    Explain what happens next

Example only. Regulated, sensitive or financial content uses approved phrasing, and every workflow defines when a person takes over.

Governance

Controls built into every workflow

Knowledge, data access, consent and escalation are agreed before launch, so the assistant only does what it has been approved to do.

Knowledge and integrations

What the assistant can know and do

  • Every answer source has an owner, status, review date and escalation rule
  • Least-privilege access to approved fields only
  • Secure authentication, duplicate handling and audit logs
  • Defined behaviour when the CRM, booking or contact system is unavailable

Privacy, consent and contact policy

Assessed for each workflow

  • Caller disclosure, recording and transcription consent
  • Direct marketing, spam and telemarketing obligations
  • Minimal collection, restricted access, retention and deletion
  • No production calls used to test an unapproved workflow

Human handoff and safety

Triggers defined in advance

  • Caller request, uncertainty, distress or complaint
  • Vulnerability, complex judgement and high-risk topics
  • Transfer with useful context, or an owned callback with a clear timeframe
  • False confidence and failure scenarios tested before launch

Recording, consent and retention settings are configured for each workflow, never enabled by assumption.

Measurement

Measure the full outcome

A fast wrong answer is not a good outcome. We track whether the task was completed correctly and what happened next, not only how many calls the assistant handled.

Containment (calls completed without a person) and average duration are supporting measures, not the only definition of success.

What we track

  • Task completion
  • Correct routing
  • Transfer reason
  • Booking quality
  • Qualified lead rate
  • System errors
  • Complaints
  • Repeat contact
  • Customer feedback
  • Downstream outcome

Pilot

Pilot with controlled scope

Start small, measure honestly and expand only when quality, privacy, operational and customer outcomes meet the agreed thresholds.

  1. 01

    Prepare

Approved scripts and knowledge, with representative test cases.

  2. 02

    Integrate safely

Least-privilege integrations, separate credentials and synthetic or permissioned data.

  3. 03

    Launch with limits

Monitored launch volume, review checkpoints and a rollback plan.

  4. 04

    Expand on evidence

Grow the scope only after the agreed thresholds are met.

Questions

Frequently asked questions

Straight answers about disclosure, data access, accuracy and safety.

Should an AI voice agent sound exactly like a person?

No. The goal is clear, effective communication, not deceptive impersonation. Identify the virtual assistant where appropriate and make human help available.

Can the agent access our CRM?

Yes, where an approved integration supports the use case. Limit access to the records and actions it needs, protect authentication, log activity and define what happens when something fails.

How accurate will it be?

It depends on audio, language, workflow, knowledge, system integration and how success is measured. We establish test sets, acceptance thresholds, monitoring and escalation instead of quoting an unsupported universal percentage.

Can it take payments?

Treat payment workflows as higher risk. Use compliant, approved payment methods and avoid exposing card details to models, transcripts or unauthorised systems. A dedicated design and security review is required.

What happens if a caller is distressed or vulnerable?

The workflow should recognise approved indicators, stop unsuitable automation and follow the defined priority human or emergency path. The agent is not a crisis or professional advisory service unless specifically designed and authorised.

We’ll demonstrate a representative workflow, review your common call types and identify what should stay with your people.

Helpful to have ready

  • The use case and call direction
  • Typical contact volume and peak pattern
  • What the workflow should complete or hand to a person
  • Where approved answers and business rules live
  • CRM, booking, ticketing or telephony systems involved

Do not submit customer data, recordings, credentials or confidential system details.
